Work through the sections below using the demo sign-in on the landing page — there is one demo case per workflow stage, so every item is something you can see on screen. When all sections pass, only the Microsoft Entra credentials remain.
0. Sign in and role separation
All roles
On the landing page use Reset demo data once, then sign in with each of the six demo accounts in turn.
HR - BPS sees every case and the initiation action; HR - OPS sees final review; Master Admin sees the Admin link.
The exiting employee sees only their own case; the manager sees their team's cases.
An HR user who also has a case against themselves acts as Employee on that case — no approve or close actions.
Sign out returns to the landing page and protected pages are no longer reachable.
1. HR - BPS initiates the exit
HR - BPS (Priya Sharma)
Search the directory by name, email or employee code and pick an employee.
Employee code, department, designation, date of joining and reporting manager are filled from the directory snapshot.
Enter resignation date, last working day, LWD end time, notice type (Probation / Confirmed), leave encashment days and remarks.
Expected notice, actual notice and notice shortfall are calculated automatically.
The new case appears at stage Employee exit form with all six department checklists created.
2. Employee exit form — Aditi Nair
Exiting employee
Complete the exit interview: reason, recognition, tools, recommendation, what you would change, would you return, suggestions.
Complete handover: handover notes, successor, pending work, knowledge transfer status.
Complete contact details: personal email, mobile and address.
Tick the acknowledgements: Payslips, Form-16 and Investment documents.
Add company assets — this case starts with none, so confirm the empty state reads clearly.
Submitting without the declaration is refused; after submission the stage moves to Manager review.
3. Manager review — Vikram Rao
Reporting manager (Rohan Mehta)
Submit feedback: technical knowledge, performance reviews, team participation, motivation, other feedback.
Complete knowledge transfer review, handover approval and client deliverables confirmation.
Approve account deactivation for Jira and Email, with Keep active until dates and a reason.
Clear the Own Department / Reporting Manager checklist item with remarks.
Items belonging to NOC, IT, Admin, Finance or HR Operations are not actionable for you.
4. Department approvals — Sneha Kulkarni
Department owner (Karan Gupta)
Only your own departments are actionable; IT and NOC are already cleared on this case.
The Admin item carries a raised query — confirm the query text is visible to HR and the employee.
Approve an item with remarks and supporting remarks; the progress count increases.
Enter a recoverable amount greater than zero and confirm the case reads as Recovery pending.
This case's last working day is today with the end time within four hours — confirm the escalation entry in the audit log.
Mark verified assets as returned; the verifier and timestamp are recorded.
5. Recovery review — Imran Shaikh
HR - BPS
The Admin clearance shows a recoverable amount of 4,200 awaiting review.
Accept the recovery — the case moves on to Finance review.
Reject or request a correction and confirm the item returns to the department owner with your note.
Every decision is written to the audit log with actor and timestamp.
6. Finance review — Neha Bansal
Finance owner (Karan Gupta)
Enter notice recovery, loan recovery, salary advance, other recovery and leave encashment.
Confirm the final recovery and final settlement figures.
Confirm Investment Documents Received (previously Imprest account settled) and car lease status.
Mark the F&F statement prepared and submit — the case moves to Employee final sign-off.
7. Employee final sign-off — Rahul Desai
Exiting employee
The recovery summary and F&F figures are shown read-only.
Give recovery consent, acknowledge the F&F statement and confirm contact details.
Submitting without all three confirmations is refused; on submit the case moves to HR - OPS final review.
8. HR - OPS final review — Farah Sheikh
HR - OPS (Meera Iyer)
Review every stage summary in one place, including a recovery of 12,000 with a cheque expected.
Record the cheque number and received date, then approve.
Return the case to an earlier stage with a reason and confirm the reason is visible to that stage's owner.
Approving with everything complete closes the case.
9. Closed case — Deepak Joshi
Any role
Every panel is read-only; no approve, submit or edit action is available to any role.
The stage stepper shows all stages complete with the closure timestamp.
The audit log shows the full history from initiation to closure.
10. Audit log and admin configuration
Master Admin (Anil Kapadia)
Every initiation, submission, approval, query, recovery decision, finance entry, sign-off, escalation and closure appears in the case audit log with actor and timestamp.
No entry can be edited or deleted from the portal by any role.
Assign department owners and department heads for NOC, IT, Admin, Finance and HR Operations.
Grant and revoke HR - BPS, HR - OPS and Master Admin roles by email; the last Master Admin cannot be removed.
The Microsoft Entra panel accepts tenant ID, client ID and client secret; the secret is stored encrypted and never shown again.
Run directory sync and confirm the synced user count, last sync time and status message.
What to request from IT
A Microsoft Entra app registration for the JetSynthesys Exit Clearance (single tenant).
The Directory (tenant) ID and the Application (client) ID.
A client secret value, shared securely, along with its expiry date.
Application permissions User.Read.All and Directory.Read.All, with admin consent granted.
The portal sign-in redirect URI added to the app registration (shown on the IT setup guide page).
Confirmation of which security group should be allowed to sign in, if sign-in is restricted.
Once IT provides these, enter them in Admin, run directory sync and ask for demo mode to be switched off — the demo accounts and sample cases are removed and only real Microsoft sign-in remains.
